Privacy Policy
This Privacy Policy explains how iCare Solutions (“we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information when you access or use the Connecteam mobile application and related web services (collectively, “the App”). The App is designed to support healthcare organizations and professionals in managing workforce scheduling, staffing, and human resource operations. By using the App, you acknowledge and consent to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the App immediately.
At iCare Solutions Inc, we recognize the sensitive nature of the healthcare environment and are committed to protecting the privacy of all users, including employees, contractors, and administrators who use our scheduling and HR platform. We comply with applicable privacy, employment, and data protection laws, including the Health Insurance Portability and Accountability Act of 1996 (HIPAA) in the United States, to the extent that the App handles or transmits protected health information (PHI) on behalf of covered entities.
When you use the App, we may collect personal and employment-related information that you or your organization provide. This may include your name, contact information, job title, department, employee identification number, credentials, work location, scheduling preferences, time and attendance data, availability, performance information, and communication records. If the App is used by healthcare providers to manage staff assignments that involve patient care, limited patient-related information—such as patient initials, room numbers, or care assignments—may also be entered into the system. We collect only the minimum necessary information required to fulfill the scheduling, staffing, and HR functions of the App.
In addition to the data you provide, the App automatically collects certain technical and usage information, such as your device type, operating system, IP address, browser or app version, and activity logs. This information helps us maintain system security, ensure compatibility, and improve user performance. We may also collect access and audit logs that track login times, user activity, and administrative changes for compliance and operational purposes.
The information we collect is used solely to provide and improve the services offered through the App. Specifically, we use data to create and manage employee accounts, schedule shifts, process time-off requests, track attendance, facilitate payroll or compliance reporting, and enable secure communication within healthcare teams. The App also allows administrators to generate workforce analytics and manage organizational resources efficiently. We may use aggregated, de-identified information to analyze usage trends, enhance system performance, and support product development, but such data cannot be used to personally identify any individual user.
We do not sell or rent personal or employment information. However, we may share data in limited circumstances necessary for operating and supporting the App. This includes sharing information with trusted third-party service providers that perform essential functions such as cloud hosting, secure data storage, authentication, analytics, or communication delivery. All such providers are contractually obligated to maintain confidentiality, comply with applicable data protection standards, and use the information only as directed by us.
Where the App is used by or on behalf of a healthcare organization that qualifies as a HIPAA-covered entity, we act as a Business Associate under HIPAA and enter into a Business Associate Agreement (BAA) with that organization. Under this arrangement, any protected health information processed through the App is handled in accordance with HIPAA’s Privacy, Security, and Breach Notification Rules. We employ encryption for data in transit and at rest, maintain audit trails, and implement administrative, technical, and physical safeguards to ensure compliance and protect the confidentiality, integrity, and availability of PHI.
We may also disclose information if required by law or legal process, in response to valid subpoenas or court orders, or to protect the rights, safety, or property of iCare Solutions Inc, our users, or others. In the event of a merger, acquisition, or sale of our business, your information may be transferred to the new owner, provided that appropriate protections remain in place consistent with this Privacy Policy.
All personal and organizational data is stored in secure, access-controlled environments. We implement layered security measures including role-based access, encryption, multi-factor authentication, network firewalls, and routine monitoring. Access to sensitive data is limited to authorized personnel who require it to perform their job functions and are bound by confidentiality obligations. Although we employ robust safeguards, no electronic system can be completely secure, and we cannot guarantee absolute protection from unauthorized access or breaches. If a data breach occurs, we will follow all applicable notification requirements in accordance with HIPAA and state data breach laws.
Your information may be processed or stored in the United States or other jurisdictions where our data centers or service providers operate. By using the App, you consent to the transfer and processing of your information in these locations. We retain your data only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce agreements. When data is no longer required, it will be securely deleted, anonymized, or archived in compliance with record retention laws and organizational policy.
If you are an employee or contractor using the App through your healthcare employer, your organization may be the controller of your data. In that case, requests to access, correct, or delete your information should be directed to your employer’s human resources or privacy department. However, you may also contact us directly at support@icaresolutionsca.com for assistance, and we will cooperate with your organization to process your request in accordance with applicable law.
Depending on your jurisdiction, you may have additional rights regarding your personal information, such as the right to access, amend, or restrict processing, or the right to request data portability. We will honor these rights to the extent required by applicable data protection regulations. You can also request clarification about how your data is handled or report any privacy concerns using the contact information provided below.
The App may use cookies or similar technologies to maintain secure sessions, authenticate users, and analyze system performance. You can manage cookie or tracking preferences through your device settings, though some features may not function properly if disabled. The App may include links to external sites or integrations with third-party tools, such as payroll systems or HR management services. We are not responsible for the privacy practices or content of those third parties and encourage you to review their respective privacy policies.
We may update this Privacy Policy periodically to reflect changes in our practices, technologies, or legal requirements. The most current version will always be available within the App or on our website, and the “Last Updated” date will indicate the latest revision. Material changes will be communicated through the App or by email, where required. Your continued use of the App after such updates constitutes acceptance of the revised Privacy Policy.
If you have questions, concerns, or requests regarding this Privacy Policy or our data protection practices, please contact us at support@icaresolutionsca.com or by mail at 18411 Crenshaw Blvd Ste 370 Torrance, CA 90504. We take privacy matters seriously and are committed to responding promptly and transparently to all inquiries.
